Applicant Privacy Notice

1. Scope of this notice#

This notice applies when you join the ManyaIT Talent Network, apply for a role, or take part in interviews and assessments with us. It is given by ManyaIT Inc. and ManyaIT Solutions Pvt Ltd, described in our Privacy Notice, which covers everything else on this site.

If you join ManyaIT, our employee privacy notice will apply from your first day.

2. What we collect#

• What you send us: your name, email, phone number, location, job title and current company, your message, and the skills, track or role you’re interested in.
• What you share later: your CV, work history, education, certifications, links to your profile or portfolio, notice period, salary expectations and the right to work where the role is based.
• What we add: notes and scores from interviews and assessments, and the outcome of your application.
• From others, with your knowledge: feedback from people you name as referees, and, if we make an offer, the results of any pre-employment checks the law allows.

We don’t ask for sensitive information such as health, religion, caste or political views. Please leave it out of your CV. If you need an adjustment during the process, tell us only what we need to know to make it.

3. Why we use it#

• to consider you for the role you applied for, and for other roles that fit your skills;
• to contact you about openings, interviews and decisions;
• to arrange and run interviews and assessments, including any adjustments you ask for;
• to make and prepare an offer, if you are successful; and
• to keep records that show our process is fair, and to meet our legal obligations.

We don’t make decisions about you by automated means alone. A person reviews every application.

4. Legal basis and consent#

• India: you consent when you send us your details. You can withdraw consent at any time, and we will stop processing your data unless the law requires us to keep it.
• EU and UK: we rely on our legitimate interests in finding people for our teams, on steps you ask for before an employment contract, and, for keeping your Talent Network profile, on your consent.
• United States: we use your data only for the purposes in this notice.

5. Who sees it#

Your details are seen only by the ManyaIT people involved in filling roles, in the United States and India, and by the managers who interview you. Our service providers, such as the tools we use to manage applications and email, store it for us under contract and only on our instructions.

We never sell your data, and we never share it with other companies to market roles to you.

Because our teams work across the United States and India, your data may be handled in both countries. The safeguards in our Privacy Notice apply.

6. How long we keep it#

• Talent Network profiles: 12 months from when you joined or last updated your profile. Before that time is up, we’ll ask if you want to stay. If you don’t reply, we delete your profile.
• Applications that don’t lead to an offer: 12 months after the decision, so we can answer questions about it and consider you for other roles, unless you ask us to delete it sooner.
• Successful applications: the details move to your employee record.

7. Your rights#

You can ask for a copy of your data, have it corrected or deleted, withdraw your consent, or ask us to stop contacting you about roles. The rights for your region, and where to complain, are set out in our Privacy Notice.

Use our privacy request form, or email info@manyait.com. Asking us to delete your data won’t affect any application you make in future.

8. Equal opportunity#

ManyaIT makes decisions about people on merit: their skills, experience and potential. We do not discriminate on the basis of race, colour, caste, religion, sex, gender identity or expression, sexual orientation, national origin, age, disability, marital status, pregnancy, veteran status or any other characteristic protected by law in the United States or India.

9. Protecting yourself from fake offers#

ManyaIT never charges a fee at any stage. Our Job Offer Fraud Notice explains how we contact people and how to check an offer.

10. Changes to this notice#

When we change this notice, we update the date and version at the top and add a line to the change log at the end.
